Collection management systems and G-Cloud

What is G-Cloud?

G-Cloud is a UK Government procurement framework for cloud-based services such as hosting, software and support. It can be used by UK public sector organisations and charities. The current framework, G-Cloud 14, is available until 28 October 2026, when it will be replaced by G-Cloud 15, which will run until 2030.

In some cases, buying services through frameworks such as G-Cloud can be faster and cheaper than entering into individual procurement contracts. However, there are some disadvantages – G-Cloud has been criticised for disadvantaging small businesses and we sometimes find the pricing schedules & scope of services confusing!

Collection management systems on G-Cloud 14

Some archive & museum collection management systems can be procured using the G-Cloud 14 framework. However, they can be difficult to find, so we thought it would be useful to list them here:

Other systems, such as digital preservation systems, digital asset management systems and middleware that are on the framework and have experience of working with archives & museums include:

JISC also run a digital preservation systems dynamic purchasing system (DPS) and there are other regional & national consortium frameworks.

Details of which suppliers and systems will be on G-Cloud 15 are expected in Autumn 2026. We are hoping we will see more collection management systems on this. When they are announced, we will list them here.
